Job Description

Job Title: Multi Property Personal Assistant to GM

Position Summary:

The Multi Property Personal Assistant to the General Manager (GM) plays a pivotal role in ensuring the smooth operation of office activities across multiple properties. This position involves managing administrative tasks, handling communication and documentation, and providing support to the GM to enhance operational efficiency. The ideal candidate will be organized, detail-oriented, and capable of maintaining confidentiality while delivering high-quality service.

Roles & Responsibilities:

- Administrative Support:
- Enter and retrieve information from computer databases, update records, files, and reservations, and respond to guest inquiries.
- Transmit information or documents using computers, mail, or facsimile machines.
- Operate standard office equipment, including computers, printers, and copiers.
- Prepare letters, memos, and documents using word processing, spreadsheet, database, or presentation software.

- Mail and Document Management:
- Handle incoming and outgoing mail, including date stamping and distributing incoming mail.
- Create and maintain both computer- and paper-based filing and organization systems for records, reports, and documents.
- Compile, copy, sort, and file records of office activities, business transactions, and other activities.

- Communication and Coordination:
- Enter and locate work-related information using computers and point-of-sale systems.
- Follow company policies and procedures, ensuring a clean and professional appearance at all times.
- Maintain confidentiality of proprietary information and protect company assets.
- Welcome and acknowledge guests according to company standards, anticipate and address service needs, and assist individuals with disabilities.
- Communicate clearly and professionally, prepare and review written documents accurately, and handle telephone calls with appropriate etiquette.

- Team Collaboration:
- Develop and maintain positive working relationships with others, support team goals, and listen and respond appropriately to employee concerns.
- Provide support to the GM in managing day-to-day activities and special projects.

- Physical Requirements:
- Move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance.
- Perform other reasonable job duties as requested by supervisors.

Desired Skills and Qualifications:

- Education and Experience:
- High school diploma or equivalent required; additional education or certifications in office administration or management is a plus.
- Previous experience in a similar role or in an administrative capacity is preferred.

- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Ability to maintain confidentiality and handle sensitive information.
