Job Description

Job Title: Executive Office Coordinator

Responsibilities:

1. Calendar Management:
- Develop and manage calendars, appointments, meetings, social engagements, and university/community functions for executive office members.

2. Correspondence Preparation:
- Prepare correspondence, ensuring completeness and accuracy, for distribution or approval and signature.

3. Communication Coordination:
- Coordinate the flow of incoming and outgoing communication by receiving, routing, and responding to calls in a friendly manner.

4. Meeting Support:
- Attend meetings and take accurate minutes for documentation purposes.

5. Report and Presentation Preparation:
- Prepare reports, documents, and presentations as required.

6. Visitor Assistance:
- Promote a positive image by greeting and assisting visitors professionally and pleasantly.

7. Liaison Responsibilities:
- Serve as a liaison between the executive office and other university staff.

8. Enquiry Handling:
- Handle all inquiries about the university in a professional and courteous manner, both in person and over the phone.

9. Additional Duties:
- Perform any other duties assigned by the immediate supervisor.

General Conditions:

- Proficient user of Microsoft Office.
- Strong communication skills, courteous, and people-friendly personality.
- 2-3 years of related experience; fresh graduates are also encouraged to apply.
