Job Description

Job Title: Parts Coordinator

Job Summary:
As a Parts Coordinator, you will play a crucial role in managing and maintaining accurate inventory records, coordinating with workshops for parts requirements, sourcing parts from local and international suppliers, and ensuring the smooth flow of parts to support the maintenance and repair activities. Your responsibilities include handling quotations, monitoring back-ordered parts, managing local purchases, and providing exceptional customer service.

Key Responsibilities:

1. Inventory Management:
- Maintain accurate and end-to-end inventory records, including quotations, posting, goods movement, and issuance.
- Coordinate with workshops to select required parts and provide assistance in a friendly and professional manner.

2. Quotations and Procurement:
- Provide parts quotations to workshops promptly and ensure compliance with given DBM/SAO.
- Interact with multiple suppliers, locally and internationally, for efficient procurement of parts.
- Manage local purchases, coordinate with vendors, and negotiate pricing.

3. Communication and Coordination:
- Follow up with workshops for parts requirements, open orders, consumables, and local parts.
- Notify the Parts Manager of out-of-stock parts or materials needing immediate attention.
- Coordinate with shipping and receiving personnel for efficient and timely delivery of parts.

4. Documentation and Records:
- Ensure proper documentation of all parts issued and received, maintaining accurate records.
- Manage and control inventory, track back-ordered parts, and update workshops on repair statuses.

5. Customer Service:
- Provide exceptional customer service by assisting customers with parts inquiries, orders, and recommendations.

6. Safety and Compliance:
- Adhere to all safety procedures and guidelines to maintain a safe working environment.

7. Administrative Support:
- Assist in the organization and maintenance of the parts catalogue and reference materials.
- Support the Parts Manager in maintaining relationships with suppliers and exploring new sourcing options.

8. Other Duties:
- Perform other duties within the Parts Department as directed by the Head of the Department.

Skills and Qualifications:
- Bachelor's Degree holder.
- Minimum 3-5 years of relevant experience in heavy equipment, agriculture, and construction machinery.
- Proficient in MS Office applications, SAP background preferred.
- Knowledge of electronic catalogues.
- Strong communication and coordination skills.
- Ability to negotiate pricing and manage vendor relationships.
- Detail-oriented with excellent organizational skills.
