Job Description

Job Title: Document Controller

As a Document Controller for Interior Fit Out Projects, you will be responsible for managing and organizing all project-related documents. You will ensure the accuracy, quality, and integrity of documents, facilitating easy access and retrieval for authorized personnel. Your role will be crucial in maintaining regulatory compliance and supporting efficient project management through effective document control practices.

Key Responsibilities:

Document Management:
- Create, maintain, and manage an organized system for project document storage and retrieval.
- Ensure all project documents are correctly named, categorized, and filed according to company standards.
- Control the distribution of documents and ensure accessibility for relevant project personnel.

Document Review and Approval:
- Coordinate the review and approval process for all project documents.
- Track document versions and maintain a history of changes.
- Ensure that documents are reviewed and approved by appropriate personnel before release.

Compliance and Standards:
- Ensure all project documents comply with company standards and regulatory requirements.
- Conduct regular audits of the document control system to ensure compliance and effectiveness.

Document Security:
- Implement and manage document security measures to protect sensitive and confidential project information.
- Monitor access to project documents and ensure only authorized personnel can access specific documents.

Coordination and Communication:
- Serve as the primary point of contact for document-related inquiries and issues within the project team.
- Collaborate with project managers, designers, contractors, and other stakeholders to ensure smooth document flow.
- Provide training and support to project staff on document control procedures and systems.

Digital and Physical Records Management:
- Manage both digital and physical project records to ensure completeness and accuracy.
- Implement and maintain electronic document management systems (EDMS) for efficient project document storage and retrieval.
- Oversee the transition from physical to digital project documents where applicable.

Quality Assurance:
- Conduct regular quality checks on project documents to ensure they meet the required standards.
- Identify and rectify errors or discrepancies in project documents.

Documentation and Reporting:
- Prepare and present reports on project document status, usage, and compliance as needed.
- Maintain logs and records of document distribution and retrieval activities.

Qualifications:
- Bachelor’s degree in Information Management, Business Administration, Construction Management, or a related field is an advantage.
- Minimum of 2-3 years of experience in document control within the construction or interior fit-out industry.
- Proficiency in document management software and systems (e.g., EDMS, SharePoint).
- Strong computer skills, including Microsoft Office Suite.
