Job Description

Job Title: Facility Manager

Position Overview:
The American University in the Emirates (AUE) is seeking an experienced Facility Manager to join our team. The Facility Manager will be responsible for planning, organizing, managing, and monitoring the daily operations of the university's facilities. This role includes overseeing maintenance, repairs, replacements, safety, and security of the university buildings, grounds, and equipment. Additionally, the Facility Manager will handle risk management, procurement, and ensure compliance with university policies and procedures.

Key Responsibilities:

- Facility Management:
- Develop and implement a comprehensive facility management program, including policies and procedures.
- Manage maintenance, repair, and replacement of all university buildings, grounds, and equipment (AC systems, plumbing, electrical, and structural components).
- Coordinate with vendors, contractors, and service providers for timely completion of maintenance and repair projects.

- Budget and Compliance:
- Develop and manage budgets for facility management operations, ensuring expenditures are within approved limits.
- Ensure compliance with relevant accreditation, safety, environmental, and building codes and regulations, maintaining the Quality Assurance Certification (ISO 45001-2018).

- Safety and Security:
- Develop and implement safety and security plans and procedures.
- Manage emergency preparedness and response plans.
- Oversee campus inspection and patrolling procedures, ensuring issues are rectified and preventive actions are implemented.

- Health and Safety:
- Monitor health and safety awareness campaigns and training.
- Ensure compliance with Dubai Health Authority (DHA), Ministry of Education (MOE), and Commission for Academic Accreditation (CAA) regulations.
- Manage clinic regulations, including renewals and nurse licenses, and handle ambulance and emergency procedures for urgent medical interventions.

- Operational Management:
- Inspect vending machines, printing services, charging docks, lockers, and other services within the campus, ensuring health and safety compliance.
- Oversee transportation fleet management, including regular vehicle maintenance, license renewals, and compliance with RTA or Police regulations.

- Risk Management and Procurement:
- Develop and implement risk management strategies, identifying potential risks and developing mitigation plans.
- Manage the procurement process, including developing and managing contracts with vendors and service providers.
- Maintain pantry supplies and office stationery.

- Coordination and Collaboration:
- Coordinate with other university departments to ensure timely completion of construction and renovation projects.
- Identify and secure funding sources to support the university mission, aligning with the university advancement and fundraising plan.
- Cultivate relationships with current and prospective donors, ensuring continued engagement and support for the institution.
- Perform any duties assigned by superiors.

Qualifications & Education:
- Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a related field.
- Facility management professional qualification (e.g., Certified Facility Manager, Facility Management Professional, or equivalent) is preferred.

Experience:
- Minimum of 5 years of experience in facility management, preferably in an academic or large commercial environment.

Skills / Training / Knowledge:
- Strong knowledge of building systems and operations, including AC, plumbing, electrical, and structural components.
- Experience managing budgets, contracts, and vendor relationships.
- Excellent leadership, communication, and interpersonal skills.
- Strong problem-solving and decision-making skills.
- Ability to work effectively in a fast-paced, dynamic environment.
- Knowledge of safety, environmental, and building codes and regulations.
- Familiarity with sustainability practices and initiatives.
- Experience in risk management and procurement is preferred.

Languages:
- Candidate MUST be fluent in Arabic and English.
