Job Description

Job Title: Medical Secretary - Medical Administration

Summary:
The Medical Secretary in Medical Administration will provide administrative and secretarial support to the Medical Staff, particularly in the credentialing and privileging process. This role involves coordinating departmental meetings, managing credentialing processes, tracking compliance with education and training requirements, and supporting accreditation-related tasks.

Roles & Responsibilities:

1. Coordination of Departmental Meetings:
- Coordinate committee meetings, including notification, room booking, agenda distribution, minute-taking, and refreshment ordering.
- Take and transcribe meeting minutes.

2. Credentialing and Privileging Process:
- Coordinate and oversee the credential and privileging process for full-time and community physicians.
- Monitor and track privilege expiry dates for all physicians and assist in the re-privileging process.
- Monitor compliance with mandatory education and Life Support Training Courses.
- Follow up on Malpractice Insurance expiry dates for community doctors and assist with renewal process if required.

3. Physician Support and Education:
- Assist physicians with internal Continuing Medical Education (CME) or educational activities, including obtaining CME credit points.
- Apply, renew, and monitor part-time licenses for community physicians.
- Collect, record, and monitor CME/Continuing Professional Development (CPD) requirements for full-time physicians.

4. Administrative Support:
- Process physicians' new privileges requests and update relevant departments.
- Support the Chief Medical Officer's office for accreditation-related tasks.
- File documents such as CME certificates, logbooks, Medical Malpractice Insurance (MMI) certificates, licenses, and reappointments.
- Perform ad hoc duties as required.

Qualifications & Skills:

- Diploma in Medical Secretarial studies or related field.
- Intermediate to Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
- Typing speed of 50-60 words per minute.
- Audio typing skills.
- Excellent communication skills and high levels of accuracy.
- Ability to prioritize workload and complete tasks in a timely manner.
- Proactive approach and ability to make suggestions for service improvement.
- Understanding of departmental objectives and ability to maintain confidentiality.
